MACHINERY AND EQUIPMENT HIRE

Capture the next hire enquiry during a handover.

You are handing over a machine when another customer calls about hiring equipment. VoiceAI Lite captures their message: what they need, for which dates and at which site. Your staff check availability and agree the terms and delivery with the customer.

Working solo or as a team. No customer service department needed.

  1. Ask callers to leave their needs, dates and site

Your greeting can request the equipment or intended use, preferred hire dates and collection or delivery needs. Lite captures the details the caller provides in a summary.

  2. Check the equipment and delivery options

Take ownership of the enquiry. Check suitable equipment, availability and transport arrangements in your own rental system or equipment list. Obtain any missing details from the customer.

  3. Confirm the hire separately

Call back, explain the price and hire terms, and agree collection or delivery. Confirm the booking in your current system and note the agreed next step in the work queue.

An independent operator can handle hire enquiries between equipment handovers. In a larger rental business, departments and assigned owners help distribute enquiries among staff.

VoiceAI Lite

Capture the customer’s message

The caller leaves a message. Get a summary and a callback task to handle yourself or share with your team.

AI receptionist

Help the customer during the call

The AI receptionist can ask for missing details, answer using your service information and explain the next step following your instructions. The summary shows what the customer needs.

One work queue also works for a one-person business. A department means a call-handling service, such as maintenance.

Both include summaries, a shared work queue, ownership, Click-to-Call, Click-to-CRM and reporting. SMS depends on the plan and settings; integrations are agreed separately.

  1. Choose the help you need

Lite organises messages and callbacks. The AI receptionist talks to callers using your instructions. Review the plan, usage charges and extra department prices before ordering.

  2. Enter the business details you already know

Add contact and billing details, a department name and a greeting. For the AI receptionist, describe your services, opening hours and answers to common questions. You choose which tasks are allowed.

  3. Follow progress and try it

After accepting your order, follow preparation and any requests for more details. Once ready, test the VoiceAI number. Then set up supported forwarding and test a call to your existing number too.

The work queue runs in a computer or phone browser. Using your existing number requires forwarding supported by your carrier; carrier charges are separate.

What does your plan include?

Handling messages, summaries and callbacks works without a CRM or booking connection.

FAQ

Frequently asked questions

All questions
Does Lite reserve the equipment for the customer?

Lite receives the enquiry. Your staff separately confirm the equipment, hire dates, price, terms and delivery. Leaving a message does not reserve equipment.

What can the AI receptionist ask about during the call?

The VoiceAI AI receptionist can follow your instructions to ask about the intended use, dates and delivery site, and provide approved collection instructions. Checking availability or making a booking during the call requires a separately agreed and tested integration for those tasks.

Can I keep using my current rental system?

Yes. In this workflow, you handle the call request in the VoiceAI work queue and check and confirm the hire in your current system. If you need an integration, data transfer, compatibility and price are agreed separately.
